Microsoft 365 or Google Workspace? It is one of the first real decisions a growing South African business makes, and the wrong choice is expensive to unwind later. Both are excellent. The right answer depends on how your team actually works — and, for a surprising number of SA businesses, on where your data is allowed to live.
This is an honest comparison, not a sales pitch for one side. We implement and support Microsoft 365, so we will be clear about where Workspace is the better fit.
The price is closer than people think
At the entry level, the two are near-parity — both start at roughly the same per-user price for hosted email, storage, and online apps. Their mid and top tiers also line up closely on price. So cost is rarely the deciding factor; what you get for that price is. (List prices for both are US-dollar based and attract 15% VAT, so the rand figure on your invoice moves with the exchange rate — confirm the current number with your provider.)
Desktop apps vs web-first
The clearest practical difference: Microsoft 365’s Business Standard and Premium plans include the full installable desktop Office — Word, Excel, Outlook, PowerPoint — with proper offline use. Google Workspace is web-first; its apps run in the browser, and offline support exists but is more limited.
If your team lives in Excel, works offline on the road or at branch sites, or relies on advanced Office features, Microsoft has the edge. If your team collaborates in real time in the browser all day and rarely opens a desktop app, Workspace feels lighter and faster.
Security and device management
This is where Microsoft 365 Business Premium pulls ahead for security-conscious SMBs. Premium bundles Microsoft Defender for Business (endpoint protection), Intune (device management), and Entra ID P1 (Conditional Access) — an enterprise-grade security stack you would otherwise buy separately for more. Google Workspace offers solid admin controls and endpoint management too, but the most granular protections sit in its higher tiers. The South African deciding factor: data residency
Here is the difference that decides it for many South African businesses, and that few comparisons mention. Microsoft 365 can keep your core data — email, files, Teams — in South Africa, stored at rest in the local Johannesburg and Cape Town data centres. Google Workspace does not offer a South African data region at all. Its data-residency options stop at Europe; there is no African option, even on the top tier.
For a business in a regulated sector — financial services, healthcare, anything with strong POPIA-driven in-country requirements — that single fact often settles the decision. If keeping South African data in South Africa matters to you, Microsoft 365 is the platform that can do it. What switching actually involves
If you are already on one and considering the other, factor in the move itself. Email, files, and calendars migrate reliably between the two, but the day-to-day experience changes: your team relearns where things live, how sharing works, and which app does what. Microsoft 365 gives more control for complex or regulated setups; Workspace is often quicker to stand up for a simple, cloud-native team. Neither migration is something to do casually mid-quarter — plan it, communicate it, and give people a little training. The platform you can adopt smoothly is worth more than a marginally cheaper one your team resents.
Which fits your business?
Lean towards Microsoft 365 if you are a Windows-centric shop, your team relies on Office and Outlook, you work offline often, you want bundled security and device management, or you need South African data residency.
Lean towards Google Workspace if you are a cloud-native, web-first team, you are Android- and Chrome-centric, you prioritise real-time collaboration and simple administration, and you have no hard requirement to keep data in South Africa.

Do not choose on brand familiarity or a single feature. Choose on how your team works, what you must protect, and where your data is allowed to live.
