Microsoft 365 Business Standard vs Business Premium comes down to security. Standard gives desktop Office apps, business email and cloud storage; Premium adds device management, endpoint protection and Conditional Access. Pick the plan by role, commit annually only for stable users, and switch on the security you pay for.

I have worked in IT and development since 1998, and Rizonetech is a Microsoft Partner: we transact, deploy and support Microsoft 365 directly. The prices and terms below are Microsoft’s own, read on 11 October 2026.

Which Microsoft 365 Business plans are there?

The Business family covers up to 300 users; larger organisations move to the Enterprise plans. Microsoft’s South African pages list these prices per user per month, in US dollars:

PlanWhat it addsPaid yearlyMonthly subscription
Business BasicBusiness email, 1 TB of cloud storage, and the web and mobile Office appsUSD 7.00USD 8.40
Business StandardEverything in Basic, plus the desktop Office appsUSD 14.00USD 16.80
Business PremiumEverything in Standard, plus device management and advanced securityUSD 22.00USD 26.40

The prices exclude VAT and are for the versions with Microsoft Teams. Microsoft also sells each plan without Microsoft Teams, so check which version a quote names. Microsoft’s South African pricing page lists the paid-yearly price as an annual subscription that renews automatically. Basic and Standard rose on 1 July 2026, from USD 6 and USD 12.50, while Premium stayed at USD 22, according to Microsoft’s pricing announcement. Copilot bundles are priced separately and are not covered here.

Microsoft 365 Business Standard vs Business Premium: which should you choose?

Business Premium is Business Standard plus a security and device-management set. According to Microsoft’s Business Premium security overview, Premium adds:

  • Microsoft Defender for Business: endpoint protection with detection and response for the business’s computers.
  • Microsoft Intune Plan 1: device and app management, including remote wipe on supported enrolled devices. Remote lock works on supported Apple and Android devices, not Windows laptops, and a device must be online to receive a remote command.
  • Microsoft Entra ID P1: Conditional Access, for rules such as requiring multi-factor sign-in or allowing access only from managed devices.
  • Defender for Office 365 Plan 1: safer links and attachments in email.

Standard includes Basic Mobility and Security, a limited subset of Intune, and spam and malware filtering. Microsoft’s 2025 announcement also adds URL checks to Basic and Standard. They “help protect against known, malicious websites when users click on links in email and Office apps”. Premium adds the full set above.

One limit matters: Conditional Access in Premium works on rules you set, such as device and location. Policies that react to sign-in risk need Entra ID P2, which Microsoft’s Entra licensing page lists as a separate tier.

Choose Premium when the business holds customer data on laptops, people work away from the office, or you need to control which devices reach company data. Standard can be enough for a small office whose devices are managed another way. Many businesses mix the two by role. When you do, every user a Conditional Access policy covers needs an Entra ID P1 licence, which Standard does not include, so limit the policies to licensed users or license the rest. Defender for Office 365 is switched on for the whole tenant by default, so also scope its policies to the users licensed for it.

Buying Premium does not complete your security setup. Defender for Office 365 provides built-in Safe Links and Safe Attachments protection by default. You still need to enrol devices, set your Conditional Access rules and decide whether stronger email policies are needed. Our guide to the security Business Premium already pays for lists what to switch on first.

What does Microsoft 365 cost in South Africa?

Start with the dollar list price above, then add four things:

  • The exchange rate. Microsoft lists South African prices in US dollars. A partner invoices you in rand at its own rate, so the rand price moves with the exchange rate and the reseller.
  • VAT. The list prices exclude it.
  • The term. A monthly subscription costs 20% more than paying yearly on Microsoft’s own price list (USD 16.80 against USD 14.00 for Standard). Since 1 April 2025, an annual subscription billed monthly also costs 5% more than one paid upfront, Microsoft announced.
  • The work around the licence: choosing the mix of plans, security set-up, migration and cleaning up an old tenant.

A director, a finance user and someone in the field do not all need the same plan. Design the mix by role rather than buying one plan for everyone. A shared mailbox can hold up to 50 GB without a licence of its own, Microsoft says. The people who use it need Exchange Online licences. Growing it to 100 GB needs an Exchange Online Plan 2 licence, and archiving or litigation hold can need more.

What are the NCE terms that catch businesses out?

Microsoft sells business licences through the New Commerce Experience (NCE), and its rules are strict. Under Microsoft’s partner rules:

  • A subscription can be cancelled for a prorated refund only in the first seven days (168 hours) of a term, after the purchase or after a renewal.
  • Licences can be added at any time, but reduced only within seven days of when they were added. After that, the count cannot drop until the next renewal.
  • An annual subscription bills for the full year, even if fewer people use it.
  • Subscriptions set to renew do so automatically.

Read your own provider’s agreement too, because it sets your terms. Ours gives each subscription a one-year term that renews on its own, asks for written notice at least 60 days before the term ends to stop a renewal, and allows licences to be reduced only in the first seven days of a term or at renewal.

The practical rule: put your stable core of users on annual terms, keep genuinely uncertain or seasonal seats on monthly terms, and review the seat count before each renewal date. For the full mechanics, read our whitepaper Microsoft 365 NCE for South African SMBs: licensing, true costs, and pitfalls.

Where is your Microsoft 365 data stored?

South Africa is one of Microsoft’s local data residency regions. For a tenant whose default geography is South Africa, Microsoft commits to store these at rest in South Africa, whenever the tenant was set up:

  • Exchange Online mailbox content;
  • SharePoint site content and files;
  • OneDrive files;
  • Microsoft Teams chat messages.

The commitment is workload by workload: it also covers specified stored Copilot and Copilot Chat interactions, and other services are outside it. Microsoft’s data location FAQ lists Forms data for tenants outside a short list of countries in the United States, and Planner is not part of the in-country commitment.

Check your own tenant rather than assume: in the Microsoft 365 admin centre, go to Settings, Org settings, Organization profile, Data location. For POPIA, Microsoft provides the infrastructure and its contractual terms, but your business still decides who can reach the data, how long it is kept and how it is shared.

Does Microsoft 365 include backups?

Partly. Microsoft keeps disaster recovery copies of your data, but its Microsoft 365 Backup FAQ says such a copy “maintains the current state of content, not any historical versions from prior points in time”. Microsoft 365 also has version history, recycle bins and recovery tools: Restore your OneDrive can undo changes to files deleted, overwritten or infected by malware within the last 30 days. For recovery beyond those limits, such as older versions or a whole mailbox, assess a separate backup service, such as Microsoft 365 Backup or a third-party product. Our backup and disaster recovery guide covers how to plan one.

What should you check before you buy or renew?

  • Which licence each role needs, and whether the quote names the version with or without Microsoft Teams.
  • Annual or monthly term for each group of users, and the renewal date.
  • Who holds the main admin account and its recovery details.
  • Whether multi-factor sign-in is on for every user and enforced for admins.
  • Whether SPF, DKIM and DMARC are set for your domain’s mail.
  • If you are on Premium, whether its security is switched on.
  • The steps for a new starter and for someone who leaves.

Our free Microsoft 365 check reads what is visible from outside your tenant: whether Microsoft knows your domain, how mail is routed, and whether SPF, DKIM and DMARC are in place.

What should you own when the work is done?

When we set up or take over Microsoft 365, the handover leaves these with you:

What you holdAt handover
TenantIn your company’s name
Main adminHeld by you
LicencesBilled to your business
Domain and DNSRegistered to you
Setup recordWritten in plain words

If a provider will not put the tenant and the main admin account in your name, ask why.

FAQ

What is the difference between Business Standard and Business Premium?

Standard gives the desktop Office apps, email, cloud storage and, in the version that includes it, Microsoft Teams. Premium adds Defender for Business, Intune Plan 1, Entra ID P1 with Conditional Access, and Defender for Office 365 Plan 1.

What is the real risk with NCE?

Committing the wrong way. A subscription can normally be cancelled only within 168 hours of purchase or renewal. Licences added mid-term have their own seven-day window to reduce them. That window covers only those licences, and adding them does not reopen cancellation. After that an annual term bills for the full year. A monthly subscription costs 20% more on Microsoft’s price list.

Is our Microsoft 365 data stored in South Africa?

For a tenant with South Africa as its default geography, Microsoft commits to store Exchange mailboxes, SharePoint, OneDrive and Teams chats at rest in South Africa, along with specified Copilot interactions. Forms and Planner are outside that commitment. Check the Data location page in your admin centre.

Does Microsoft 365 back up our data?

It keeps disaster recovery copies of the current state of your data, and its version history, recycle bins and OneDrive restore can recover some deleted or encrypted files within their limits. For anything beyond those limits, assess a separate backup service.

What should you do next?

Run the free Microsoft 365 check on your domain, then look at your licence mix before the next renewal date. For day-to-day support alongside it, read the managed IT services guide, or see Microsoft 365 support from Rizonetech, which includes DNS Shield for your domain’s mail records.
