Microsoft 365 vs Google Workspace comes down to how your people work and where your data must live. Choose Microsoft 365 for desktop Office, a South African tenant that stores email and files at rest in South Africa, or Business Premium’s device and access controls. Choose Google Workspace if your people work in the browser and need no in-country storage.
I have worked in IT and development since 1998. Rizonetech is a Microsoft Partner and runs its own email on Microsoft 365, so read this knowing we sell one side; I say where Google Workspace fits better. Reviewed 14 October 2026 by Derick Payne.
Where is your data stored?
Microsoft 365. For a tenant set up in South Africa, Microsoft’s product terms commit to storing named data at rest “only within that Geo”, including Exchange Online mailbox content, SharePoint site content and files, OneDrive files, and Microsoft Teams chat messages. Not everything is covered: Microsoft’s guidance for other services says where it may provision data with no residency commitment. For a South African tenant, that is the United States for Forms and Europe for basic Planner data; premium plan data and attachments follow other rules.
Google Workspace. Google’s data regions let you choose where covered data is stored, but “Your location options are the United States, European Union (labeled Europe in the Google Admin console), or No preference.” There is no South African or African option. Data regions come with Business Standard, Business Plus and the Enterprise editions, not Business Starter. They cover named data, such as email content and attachments and files uploaded to Drive.
So if you need email and files stored in South Africa, Microsoft 365 can do it for those workloads and Google Workspace cannot.
Does POPIA require South African storage?
No, not as a blanket rule. POPIA section 72 allows personal information to go to a third party in another country on conditions: for example, if the recipient is bound by “a law, binding corporate rules or binding agreement which provide an adequate level of protection”, or if the person consents. Storing data in Europe or the United States can be lawful.
Local storage matters when something else requires it: a sector rule, a contract with a client, or your own policy. Check your actual obligation, with legal advice where the stakes are high, before letting it decide the platform. Our POPIA checklist covers the basics.
Do you need desktop Office, or does the browser do?
Microsoft 365 Business Standard and Premium include the installable desktop apps; Microsoft lists “desktop versions of apps in Microsoft 365, including Outlook, Word, Excel, PowerPoint, and OneNote” for Business Standard. Business Basic uses the web and mobile versions.
Google Workspace is built for the browser. Docs, Sheets and Slides work offline, but Google’s offline help says “You must use the Google Chrome or Microsoft Edge browser” and install the Docs Offline extension.
Offline work needs preparation on both. In OneDrive, online-only files cannot be opened without internet, so mark the folders people need as “Always keep on this device”. In Google Drive, turn on offline access and make the files you need available offline. Then test the real working files with the internet switched off.
If your people live in Excel, use Outlook all day, or work on the road without reliable internet, Microsoft 365 with desktop apps fits. If they collaborate in shared documents in the browser and rarely open a desktop program, Google Workspace feels lighter.
Which gives you more security and device control?
Both include baseline email protection that works without setup. Microsoft says its default protection against malware, spam and spoofing is “on by default” for all cloud mailboxes. Google describes the “regular virus and spam protection provided to your organization through Gmail”.
The difference is in device and access control. Microsoft 365 Business Premium combines Conditional Access, Intune device management and Defender for Business device protection in one licence. Our Microsoft 365 security settings guide covers what each plan includes and how to set it up.
Google Workspace Business Plus includes advanced endpoint management, which Google says is “Not available with Business Starter and Business Standard”; the lower editions have basic management. Google’s context-aware access, which sets access rules by device and location, is listed for selected Enterprise, Frontline and Education editions and Cloud Identity Premium, not the Business editions.
Access policies, device enrolment and device protection only work once someone configures them, on either platform. Compare what you will actually set up, not the feature list.
How do you compare the price?
Not by headline prices alone. Both price their business plans per user per month, and both change prices from time to time. Ask each provider for a dated quote in the same currency, and compare:
- the plan and what it includes (desktop apps, device management, data regions);
- the billing term and what happens if you reduce users mid-term;
- VAT and how the exchange rate is handled;
- any support or migration charges.
For Microsoft 365’s plans, terms and current prices, see our Business Standard vs Business Premium guide and our guide to NCE licence terms.
What does switching from one to the other involve?
Both vendors document the move. Microsoft’s Google Workspace migration moves mail and rules, calendars and contacts, and can run “in stages” by batches of users. Google’s import for Exchange Online copies email, calendars and contacts the other way, for up to 1,000 users per import. Files in Drive or OneDrive move separately.
Each tool has limits. Microsoft lists items its Google migration does not move, including room bookings, shared calendars and event colours, and it copies at most three email addresses per contact. Google warns that running an import twice for the same data can duplicate calendars. A safe switch looks like this:
- List what each tool will not move, and plan how to handle it.
- Move files separately. Map users and groups in your migration tool and check its permission settings. Microsoft’s Migration Manager, for example, leaves file-level permission migration off by default and “doesn’t recreate external sharing links”, so recreate those and check access afterwards.
- Pilot with a few users. Check their mail, calendars and files, and test the spreadsheets, templates, macros and integrations the business relies on. Excel macros do not run in Google Sheets; Google suggests rebuilding them with macros or Apps Script, so count that work in the quote.
- Plan the cutover of mail delivery (the domain’s MX records), so mail keeps arriving.
- After the move, check each user’s data and fix what is missing.
People also have to learn where things live and how sharing works. When we move a business to Microsoft 365, the move is planned so mail keeps arriving, and we warn the client before any step that could interrupt it.
Microsoft 365 vs Google Workspace: which one should you choose?
| If your business | Lean towards |
|---|---|
| Needs email and files stored in South Africa | Microsoft 365 |
| Works in desktop Excel, Word and Outlook, or offline | Microsoft 365 Business Standard or Premium |
| Wants device management and access rules in a business-tier licence | Microsoft 365 Business Premium |
| Works mostly in the browser, on Chromebooks or Android | Google Workspace |
| Is a small business with simple needs and no storage requirement | Either; compare dated quotes |
Already on one of them? Check first whether a setting or a different edition of your current platform meets the need. Switch only if the benefit outweighs the migration, the retraining and any contract time you still owe.
Our own email runs on Microsoft 365, and we are building MailMark, an email signature platform for Microsoft 365 and Google Workspace, which is still in development. If Google Workspace fits your business better, we will say so.
FAQ
Can we switch later if we choose wrong?
Yes. Both vendors document moving mail, calendars and contacts across, with limits, and files move separately. Plan it for a quiet period, pilot it first, and give people time to learn the new layout.
Does Google Workspace have a South African data centre option?
Not for data regions. Google’s options are the United States, Europe or no preference.
Is Microsoft 365 automatically POPIA compliant if data stays in South Africa?
No. Storage location is one question. POPIA also covers why you collect personal information, how you secure it, who processes it for you and how you handle a breach.
What should you do next?
Run the free Microsoft 365 check on your domain to see how its mail is set up today. If you are weighing the two, our Microsoft 365 service starts with a review of how your business works; we will say plainly if Google Workspace suits you better.
